Privacy and Social Media Policies

ACTFL Privacy Policy
The American Council on the Teaching of Foreign Languages (ACTFL) respects the privacy of its members and customers.  We strongly believe that for electronic communication and online activities to be successful our customers must be assured that the information provided is used responsibly and appropriately.  Therefore, ACTFL leadership has implemented the following policy to guide the use of ACTFL members and customers personal information.

Information Collected
Members and Customers:
 From ACTFL members and customers, ACTFL collects personal information such as name, home and institution address, phone, fax, e-mail, and applicable languages, levels and assignments.  This information is submitted voluntarily by the individuals to ACTFL in a variety of ways such as: membership applications, renewal invoices, registration forms and publication order forms.  Members may update this information online at
www.actfl.org at any time, or may contact the ACTFL headquarters during normal business hours. 

ACTFL also maintains members’ and customers’ activity with ACTFL such as: years of membership, purchases, volunteer activities and registrations, etc. ACTFL only uses this information to enhance its products and distribution of these products.  ACTFL will also provide this information to individuals, upon request, for purposes of compiling their CV/resume.  This information is not sold or distributed in any manner.

In addition, for certain ACTFL e-mails, we will also collect specific information regarding what the recipient does with that e-mail.  For those e-mails, ACTFL will monitor whether a recipient subsequently clicks through to links provided in the message.  Other information collected through this tracking feature includes: e-mail address of a user, the date and time of a user’s “click”, a message number, name of the list from which the message was sent, tracking URL number and destination page.  ACTFL only uses this information to enhance its products and distribution of these products to its members.  This information is not sold or distributed in any manner.

General Users:  ACTFL does not collect personal information from users browsing its Web site.  Only aggregate data, such as the number of hits per page, are collected and used for internal and marketing purposes and do not provide any personally identifying information. 

ACTFL Communications
ACTFL regularly communicates with its members by e-mail and/or fax. By supplying your e-mail or fax you are consenting to receiving communications from ACTFL in this manner. At any time you may unsubscribe from subsequent messages by following the directions on a received communication or by e-mailing
 membership@actlf.org. Fax numbers provided should be able to automatically receive 24-hours a day, 7 days a week. Faxes are only sent if we don’t have an e-mail address or if the e-mail is undeliverable to the address we have. 

Mailing List Rental
Members: ACTFL occasionally makes its members mailing address available for one-time usage rental to companies offering products and services of interest to our members.  Companies may choose to segment this list based on certain demographic and geographic criteria when they place the order.  This segmenting is completed by ACTFL or its assigned contractor prior to the list being provided.  Members may choose to opt out of these mailings by checking the appropriate box on the ACTFL membership application, renewal invoice or by updating their profile on
www.actfl.org.

Members’ phone, fax, e-mail and personal demographic information is for ACTFL and its contractor’s use only and never released to another company or organization. 

Convention Registrants: ACTFL occasionally makes its Annual Convention and World Languages Expo registrants mailing address available for one-time usage rental to companies offering products and services of interest to our attendees.  Registrants may choose to opt out of these mailings by checking the appropriate box on the registration form. 

In addition, Convention sponsors are sent a list of all registrants containing the individuals mailing and e-mail address.  This is a benefit to those companies sponsoring events and products at the Convention.

Credit Card Information
ACTFL does not disclose credit card account information provided by its members and customers.  When members and customers choose to pay using their credit cards, ACTFL submits the information needed to obtain payment to the appropriate processing agent.  All electronic credit card information is encrypted prior to ACTFL receiving it.

SOCIAL MEDIA POLICY

Soliciting Roommates at Convention
ACTFL expressly disclaims any responsibility for, and any and all liabilities resulting from, any information or communication exchanged between members soliciting or responding to requests for roommates, as well as any liability resulting from sharing a room at an ACTFL meeting.  ACTFL does not check any information posted herein for accuracy and participants must use their own discretion and accept sole responsibility if they agree to room with another individual.
